Your Guide to Creating and Reevaluating Your Job Descriptions

The needs of both employees and employers have changed drastically over the last few months, are only going to continue to evolve as companies shift their way of working amidst the ongoing COVID-19 pandemic.

If a position has opened up on your team, or you are hoping to create a new role to take on some of the workload within your company, the Job Description Brainstorm Template is exactly what you need. This is a great way to brainstorm and organize ideas about a particular job or role that you are restructuring, or creating for a future hire.

This template is especially useful at this time, as many companies have been through a hiring freeze or through layoffs during the pandemic, and are now looking to reevaluate the qualifications, outcomes, and duties of new hires going forward.

What should you include in a job description?

Every job description will be different based on the role you are trying to gill, but there are a few critical components every description should include:

  • Heading information with the title, pay grade or range, reporting relationship, and work hours.

  • An overall job description that ties in the job routine with the company culture and expected objectives of the position.

  • General and specialized qualifications a candidate should have alongside any special demands the niche position will include.

  • The duties and responsibilities of the position so candidates can get a good picture of what they will do day-to-day.

What should you leave out of a job description?

Poorly written job descriptions will make even the most qualified candidates shy away from applying. Clear, concise messaging is key, so consider leaving out the following:

  • The sentence “Miscellaneous duties or other duties as assigned” as it is vague and non-descriptive.

  • A list of an endless amount of responsibilities or capabilities no reasonable candidate would have.

  • Anything that confuses the responsibilities and expected outcomes of a role with an underqualified or overqualified list of skill sets required by the candidate.

  •  Ambiguous terms such as team player, multi-tasker, professional, or go-getter (use specific terms and terms unique to your company’s culture).

Stormboard’s Job Description Template

The template is divided into three sections that encourage you to brainstorm a general description of the job, the roles and responsibilities, and the skill or education requirements necessary to apply.

The template sections:

1. Description

This is where you’ll put a general description of the job position. Brainstorm aspects of the job that will tell potential applicants exactly what you are looking for. Add engaging words specific to your company culture to attract attention.

2. Duties and Responsibilities

In this section, you will write down a more detailed description of the job you are hiring for. This will include job duties (daily/weekly/monthly tasks) and responsibilities.

Add every aspect of the job, no matter how small. Make sure to include as much specific detail as possible about what the job entails.

3. Skill and Education Requirements

This is where you will include the education and skills that potential applicants are required to have in order to be successful in the job.

Think of the specific qualities you want your potential applicant to have before starting the position. Include all training or certifications required, as well as those that might be “nice to have” but aren’t necessary to be considered for the role.

Conclusion

This template is ideal for people who are interested in starting or restarting the hiring process, either for a new position or to fill an existing position. Remember that the more specific you get with the job description, the more likely you are to pique the interest of your ideal applicant.
